If a board is unwound

This page covers money returned when a commission does not run as planned. It applies to sittings, audits, first boards, monthly retainers, and facilitated briefings. We do not sell goods by post, software licences, or event tickets, so those cases are omitted on purpose.

Eligibility

A refund is due when we cancel, when we miss a sitting without cause, or when you cancel inside the windows below. A change of mind after you have accepted a proof is not a refund; it is a new sitting. A late close on your side is not a refund; it is a delay.

Timeframe

Write to info@panelmatrixbase.digital. We confirm receipt within two working days and settle an agreed refund within fourteen working days after that confirmation.

Full and partial

Metric audit. Cancel before we have opened your packs and the fee returns in full. After we have opened them, the fee is earned; we will still send whatever letter we have drafted.

Executive KPI Board. The 40 percent deposit is returned in full if you cancel more than ten working days before the sitting. Inside ten working days, the deposit covers the diary and is not returned. After the sitting, the deposit is earned. If you cancel before the proof, we invoice only hours already spent on source checks, capped at 30 percent of the quote, and return the rest of any money received. After you accept a proof, the composition fee is earned; unused printing is not charged.

Printed run. If we collate a run with missing pages or the wrong cover, we reprint at our cost or refund the print line. Paper already printed to a proof you accepted is not refundable when you later change a figure.

Monthly board pack. Cancel with thirty days’ notice to the end of a month. Unused full months already paid are returned. The month in which notice arrives is not returned, because the close may already be on the desk.

Facilitated briefing. Cancel with more than two working days’ notice and the 950 GEL returns. Later than that, or a no-show, the half-day is held. If we fail to attend, you pay nothing and we apologise in writing.

Non-refundable

Courier at cost once the packet has left Kazbegi Avenue. Extra copies printed at your request. Travel already bought for a sitting outside Tbilisi, unless we cancelled. Work already set in type after proof acceptance.

Process

State the commission, the date, and whether you want a transfer to the original account or a credit against a later sitting. We refund by the same method you paid where the bank allows; otherwise by lari transfer to an account in your organisation’s name. We do not refund in cash at the studio.

Processing time and method

Fourteen working days after we agree the sum. Bank holidays in Georgia extend the count. You will receive a short letter stating the amount and the method.

Deposits, no-shows, rescheduling

Deposits are described above. One reschedule of a sitting, with more than five working days’ notice, is free. A second reschedule, or any reschedule inside five working days, is billed 350 GEL to cover the diary. A no-show at a sitting without notice forfeits the deposit on a first board and the half-day fee on a briefing.

Work already started and materials

Source checks, typesetting, and red-ink rounds are labour. Once begun, they are billed as set out in the partial rules. Stock bought for an extra-large run at your written request is charged if you unwind after we have ordered it.

Exceptions

If Georgian consumer law grants a cooling-off right that is wider than this page for a particular person, that law wins. Organisations commissioning in the course of business are held to the windows above.
