How we keep a record
This notice explains how Panelmatrixbase Analytics handles personal information when you write to the studio, commission a board, or visit this site. It is written for people, not for ledgers; company accounts you send us are treated as confidential business records under the terms as well.
Controller

What we collect and why
From a contact note: name, email, organisation, the board you wish to discuss, a preferred sitting date, and your message. We use these to reply and to offer a sitting.
From a commission: circulation lists, job titles, telephone numbers of secretaries and finance directors, and whatever personal data appears inside the packs you send (names on aged lists, for example). We use these to compose, print, courier, and invoice. We did not ask for those aged lists to study the people on them; if they arrive as part of a pack, we keep them with the pack.

We do not buy lists. We do not write newsletters unless you have asked for a specific letter about your own pack.
Lawful grounds
Commission work is contractual. Replies to an enquiry are steps toward a contract, or our legitimate interest in answering a professional letter. Cookie storage follows your choice. Where Georgian law requires consent for a particular use, we will ask.
Retention
Enquiries that do not become commissions are kept for twelve months, then deleted unless a dispute is open. Commission files, invoices, and circulation lists are kept for the periods Georgian tax and civil rules require — generally up to six years after the last invoice — then destroyed or anonymised. Cookie preference marks last up to one year in your browser.
Who sees a file
The three people named on the studio page, a Tbilisi printer bound to confidentiality, and a courier for the run. We do not sell files. A statutory auditor or court may compel a record; we will tell you unless the law forbids it.
International transfers
Our studio, printer, and usual couriers are in Georgia. If a director on your circulation list sits abroad, you are the one sending them the PDF; we follow your list. Should we ever use a mail host or backup outside Georgia, we will name it here and use a transfer tool the Georgian data-protection rules recognise.
Your rights
You may ask to see the personal data we hold about you, to correct it, to restrict it, to object to a legitimate-interest use, and — where consent was the ground — to withdraw that consent. You may ask for erasure where the law allows; invoices and packs we must keep for tax periods cannot be burnt early. You may complain to Georgia’s Personal Data Protection Service. Write to us first at info@panelmatrixbase.digital; we will answer within a month.
Children
The site and the commissions are for adult officers of organisations. We do not knowingly keep data about children.
